CMAC Billing Policy
(Effective July 24th, 2022)
Billing:
Credit cards are automatically billed on the 1st of each month. Accounts not paid by the 15th will incur a $10 late fee. Accounts over 60 days past due will be suspended and member will not be allowed to enter water until account balance is brought current.
Cancelation:
CMAC requires at least 15 days’ notice prior to the 1st of each month to cancel membership. Memberships canceled with less than 15 days’ notice are billed a 10% cancelation fee. If cancelation request is submitted on/after the 20th of the month, account will be billed for the following month, no exceptions. No refunds are issued after the 1st of each month. CMAC does NOT prorate based on cancellation date, holidays, or Summer break (August).
Suspended Accounts:
The foundation of CMAC’s swimming program occurs on a year-round basis. It is each member’s responsibility to understand the following options related to any inactive status scenarios and to communicate with team administrators in writing (email) related to these inquiries.
If your swimmer cannot participate for any prolonged period of time, you can opt for a maintenance status of $75 / month. This does not apply to minor illness, family vacations, etc.
After 2 months of maintenance status membership will be canceled to avoid any long-term billing issues. If your swimmer rejoins the program the same calendar year after a canceled membership, they will pay a reactivation fee of $150. Swimmers are not guaranteed placement in former groups upon return. All team volunteering hours/NCF fees still apply regardless of membership status during the swim calendar year.

Swim Meet Responsibilities

Swimmers are entered by parents in most meets. They will be entered by the coaching staff in all regional meets/sessions they qualify for unless your account is declared as ‘DECLINE’ for that meet on Commit Swimming or you communicate with their group coach via E-mail Only. If you can only attend one day of a multi-day meet, you must write in the ‘NOTE’ section indicating the day(s) you will attend.
IF a swimmer is entered in a meet and cannot attend, you must notify your group coach prior to the scheduled warmup via E-mail to avoid a ‘no show fee’. Failure to do so results in a $25 fee per session missed.
Volunteer Responsibilities

There are muliplte ways that parents are able to help at swim meets to help us with our volunteer numbers at our swimmer's meets. Sign ups for away meets is on Team Unify next to your swimmers ‘COMMITMENT’ tab.
All parents with athletes registered in a meet have a responsibility to help with timing. IF you are unable to meet that volunteer minimum, there are other ways that you can get your hours.
- Volunteering to transport EZ-Ups to and from the meet location obliges timing obligations.
- EZ-Ups should be picked up from CMAC on the last workout before the meet and returned the next workout following the meet.
- A timing ‘no show fee’ of $30 per shift missed will be applied if a timing shift is missed without e-mail communication to your group coach.

Home meet job duties are emailed internally through the Commit Swimming website. All families are required to volunteer at home meets, and 20 hours each calendar year.

Entering your CMAC Swimmer in a Meet
All swim meet entries will be submitted by automatic meet entry. Before the indicated meet entry deadline, swimmers must declare if they are attending or not on the web site. Swim meet charges will automatically be applied to your account. Once the deadline passes, no athletes will be allowed to enter the event late. This is standard policy and based on host-admin teams, not CMAC.
Once meet entries are submitted to the Meet Manager (online registration deadline), No Refunds are possible.
Based on the level of meet and geographical location, CMAC will add additional charges to off-set coach transportation or travel expenses
- committee level / dual meet series: $1 per individual event or $3 per session
- prelims/finals or committee championship: $10 surcharge per athlete
- regional championship (WAG, JAG, JO level): $15-$25 surcharge per athlete (plus apparel if applicable)
- sectionals & above: will vary based on travel distances, # of athletes/coaches

CMAC Try-Out Information
Is my swimmer ready for a tryout?
Your swimmer must be able to swim 25 yards (1 length) of functional side-breathing freestyle, with similar backstroke ability. They may have a working knowledge of butterfly and/or breaststroke which is helpful, but not always needed.
The swimmer will be able to complete this distance without stopping or assistance and demonstrate the ability, stamina and maturity/focus needed to be functional in a practice environment. The coaching staff will be able to help determine if they are at this level, or if they may need additional work before joining the team.
Keep in mind that swimmers will be swimming multiple lengths during practice, so we want to make sure they also have the stamina to complete at least a 30-45 minute practice.

FAQs
Bills are processed on the first of each month. (Practice Group Fees, Meet Fees, Team Apparel, etc.)
YES YOU ARE. Entries and entry fees are sent to the host club approximately two weeks before the meet. Once CMAC has submitted entries to the host club, no changes to the entries or refunds can be made.
Mandatory meets are home meets, or other large meets where CMAC will need everyone’s help to run a successful event. That’s why all families are required to work at them. If you don’t work at these meets, your account will be billed. The fee for not working mandatory meets is $30 per family. This $30 fee is in addition to any meet fees that are owed as a result of registering for the meet.
Southern California Swimming requires all teams to provide timers at most away meets. Every participating team are required to provide timers. Be sure to note any days when you are unable to time on the comments section of the meet entry declaration when you declare your swimmer for the meet. This allows the individual putting together the timing assignments for the meet to properly schedule parents for timing shifts that they are available to work. The penalty for a timing "no show" is $30.
